Coordinator, Volunteer & Intern Resources

This will be an exciting year for TIFF as we present unique programming in our new home and the world's premiere centre for film, TIFF Bell Lightbox. We are seeking a highly motivated individual who wants to be part of a new era in Toronto's cultural history.

Reporting to the Manager, Volunteer & Intern Resources, the Coordinator, Volunteer & Intern Resources will provide administrative support to department staff and take leadership of several volunteer teams at TIFF Bell Lightbox and for TIFF Festival.


Shall include but not be limited to…
• Coordinate all volunteer correspondence, including upkeep of the Volunteer Hotline and Volunteer Office e-mail account
• Maintenance of departmental records and statistical-reporting from the volunteer database including the posting of hours and volunteer schedule maintenance
• Create departmental PowerPoint presentations and reports
• Assist with outreach efforts including correspondence with partner organizations and providing research support
• Perform research related to the development of new volunteer programmes, as required
• Coordinate and perform all administrative tasks related to the TIFF Bell Lightbox Administrative Volunteer Team
• Assist in the planning and execution of volunteer recognition events for TIFF volunteers
• Manage the distribution of volunteer rewards and promotional offers available to volunteers
• Hire, train and supervise seasonal staff for TIFF Festival
• Plan, develop and coordinate all departmental volunteers positions for the Toronto International Film Festival
• Assist in the planning and execution of Volunteer Orientation Sessions leading up the Toronto International Film Festival
• Ensure that all departmental volunteer shifts are inputted accurately, presented in a clear format, and that schedule information is communicated in a timely manner
• Maintain accurate volunteer records and schedules in the volunteer database
• Ensure that all performance evaluation information about volunteers are consistent and inputted confidentially in database
• Submit post-mortem report for all events

Start Date:  December, 2012

Minimum Requirements

• 2 or more years of proven experience working with volunteers
• Strong interpersonal skills and friendly, outgoing people skills
• Excellent communication skills (email, in-person and via telephone)
• Exceptional eye for detail and ability to multitask in a fast-paced, open-concept environment
• Highly proficient computer skills (knowledge of Word, Excel and Gmail is an asset)
• Experience working with relational databases or an online volunteer management tool is an asset
• Comfortable speaking in front of large groups
• Flexible work schedule, some evening work and weekend work is required
• Experience with community outreach an asset
• Experience in recruitment, screening, and training of large numbers of people is an asset
